LinkoHW is a tool to be used by the POTW to help manage the information needed in the course of implementing and operating a Hauled Waste program. In order to use the software as an effective tool, it is important to understand the tasks you want to accomplish. The following sequence of steps will help you map the tasks you want to accomplish and will show you how to use LinkoHW to help.
1) Document your Program - Before you start using LinkoHW, it is most helpful to consider the Standard Operating Procedures (SOP's) currently in use:
· What activities are you currently performing or plan to implement?
· How do you currently receive notice of Hauled Waste disposals?
· What letters and/or reports do you send to Waste Haulers?
· List the reports / correspondence that you receive from the Waste Haulers.
2) Setup and Configure LinkoHW- Once you have outlined the tasks, letters and reports important to your program, you are ready to configure LinkoHW to fit your SOPs. In this step, you will use the System Administration functions to enter the types of events you perform (Inspections, Letters, etc.), the types of events that the Waste Haulers perform (Pump Outs and Disposals) as well as other Valid Value lists that are used in LinkoHW System Admin. Change the way the screens appear and customize reports and letters to fit your needs.
3) HW Inventory - After you have configured LinkoHW, you need to enter all of the Waste Haulers into LinkoHW. The Waste Hauler Management screen is used to store and report information about Waste Haulers. By entering your 'inventory' of Waste Haulers into Linko along with the information that characterizes each of the Waste Haulers (address, contacts, notes, vehicles. etc.) you will then be able to sort, group and manage a large number of Waste Haulers simply and completely. The Waste Hauler Inventory becomes the basis for using LinkoHW.
4) Tracking Hauled Waste Disposals – LinkoHW can be used to track the disposals of each Waste Hauler. Set up approved Disposal Sites in the Disposal Site screen. Use the Pump Out and Disposal Management screen to quickly enter new disposal manifest information for new or existing waste generators. Keep detailed track of the kinds of waste being disposed and where it is being disposed. Generate a number of reports that can include identifying the amounts of waste and origination points.
5) Scheduling Your Events - LinkoHW can be used to manage both the Authority's schedule and to track Waste Hauler events. Authority events may include Inspections or Permit Expirations. Using the Event Management Screen, you can build your schedule one Waste Hauler at a time or schedule by groups of Waste Haulers. The user can track the Events by the Waste Hauler and enter the completion of these events as they occur. You can configure LinkoHW to create the next scheduled event when you complete an event.
5) Day-to-Day Operations - Once your Waste Hauler inventory and your schedule are entered, use the Event Management screen to view activities that you need to complete, and update those events as they are completed. There are many sorting and reporting capabilities to help you view the events. Easily track manifests for disposal events as they are received. Advanced reporting options will allow you to view where different types of waste, like FOG or SEPTIC, are originating. You can also track how much waste is being disposed and where.
7) Program Performance Review - Use the LinkoHW
reporting capabilities to analyze where your program is succeeding and finding
where it needs to be tuned up. Consider using LinkoHW with LinkoFOG or LinkoCTS
to provide added abilities of scheduling Hauled Waste Pump Outs and more robust
tracking and reporting of waste generators.
